AI Usage Policy

AscenteVMS Software Group adopts a careful and transparent approach to the use of Artificial Intelligence (AI). For the purposes of this policy, AI refers to machine learning models, generative AI systems, and other automated decision-support technologies used within our products and services.

Our policy is designed to ensure that all applications of AI in our products and services comply with applicable law, respect contractual obligations, and maintain the trust of our customers.

Our Policy Commitments

  • AI is used to support human decision-making, not replace it. Critical decisions remain subject to appropriate human review and approval.
  • Customer data is not placed into public or unapproved AI tools. Only approved, secure, enterprise-grade or internally managed platforms, operated under strict privacy and security controls, may be used.
  • Customer data is not used to train shared, public, or third-party AI models unless explicitly agreed. Data is used only for its intended purpose and handled in accordance with applicable data protection agreements.
  • AI use is subject to standards of fairness, explainability, and transparency. We take reasonable steps to identify and mitigate the impact of bias in AI-enabled features through application design, testing, and system-level controls. Where customers can configure or provide inputs to AI systems, outputs may be influenced by those inputs. Customers are responsible for reviewing and validating AI-generated results prior to use.
  • AI-generated outputs may contain inaccuracies. Customers should not rely solely on AI output without appropriate human review.
  • All AI deployments follow The CORA Group and Jonas Software's cybersecurity requirements, including company-managed environments, multi-factor authentication, encryption, monitoring, and access controls.
  • Third-party AI providers are subject to due diligence, contractual safeguards, and security reviews consistent with our vendor management practices.
  • AI systems are subject to internal governance, including review, approval, and ongoing monitoring by designated responsible teams. Where appropriate, AI-driven processes are logged to support traceability and accountability.
